For service teams with orders in VHS1.
FROM THE MESSAGE TO THE ORDER
The customer asks. The VHS1 order is already assigned.
A question about an order often contains only a few clues. VHS1 Connect automatically assigns incoming messages to the respective order. When you open the message, the key order data and the current status are available in the sidebar.
On the phone, you can use the same information: via the integrated search field, you open the matching order. So you do not have to piece the order together from e-mail communication first, even when the customer gets in touch another way.
First place the ticket, then give targeted information.
ITEMS, PAYMENT AND SHIPPING
Read the order status in context.
A status alone does not answer every question. An order also includes the individual items, the payment method and any comments. The connection brings these details from VHS1 together in your service view. This way, you can see what the inquiry refers to and which information your reply still needs.
This way, your team has the information where it is needed: Right with the customer inquiry.
YOUR PREVIEW FOR SERVICE
What you often need is right with the e-mail.
Which details should your team see first? In the preview line, you decide which order information appears, and how much. As soon as you click the e-mail, you can see whether VHS1 data exists for the message. For example, choose the customer, goods and shipping details that are relevant to your typical questions.
For a closer look, you use the list of items or linked order, invoice and customer numbers. They lead to the relevant detail or to the record in the third-party system. The preview is your starting point, and the further information stays within reach.
PREPARE FOR RECURRING QUESTIONS
One reply template, completed with the specific order.
Questions about payment or shipping are similar, but the orders behind them differ. With shared text templates, you prepare the recurring part of your replies. VHS1 Connect adds available order information from the connected system via variables.
You choose a suitable template and adapt it to the request. Before sending, you check the text and the inserted data. This way, your team uses consistent templates and still answers the question about each specific order.
